Invoice Data Extraction for a US Waste-Hauling Broker

Hauler prices sit inside hundreds of multi-page PDF invoices. Someone spends days retyping them, and sales waits a week to name a price. A US waste-hauling broker put it in one line: someone has to move these ten-page PDFs into a table, and it is hard work. Hygge built a reader that refuses any invoice that misses its printed total and turns the rest into a price history by client, hauler, industry and region. On the client's sample invoices, it matched every total to the cent. Sales quotes from the phone during the call, stores order regular services in three clicks, and the team keeps clients and orders in its own light CRM.

How Long Does Your Sales Team Wait to Name a Price?

Bring three of your hardest supplier invoices to a 30-minute call with a Hygge architect. You see how the reader would split them, check the totals and add them to a price history.

Why Your Prices Take a Week

The broker resells services it buys from many haulers, and the real prices arrive inside their invoices.

Ten-Page PDFs Typed Into Spreadsheets

Accounting copies line items from long hauler invoices by hand, one format at a time. The backlog grows every month.

A Week Before Sales Can Name a Price

A new account waits while someone digs out similar prices, and the deal goes to the broker who answers first.

One Invoice, Four Clients

Haulers send combined PDFs that mix several of your clients, and splitting them by hand is where mistakes start.

Every Hauler Names the Same Service Differently

FEL 8YD 2X/WK on one invoice is a front-load eight-yard bin twice a week on another. Matching them takes a trained eye.

Prices Without a Paper Trail

When a client questions a price, finding the invoice behind it takes an afternoon.

The Challenge

The broker owns no trucks. It buys hauling from haulers across many regions and resells it to business clients. Its margin depends on knowing what each hauler charges for each service. Those prices arrive inside roughly 500 hauler invoices a month. Accounting retypes them, and pricing knowledge lags behind the market. A salesperson can wait a week to quote a new account.

In the client's words, someone has to move these ten-page PDFs into a table, and it is hard work.

Our Solution

Hygge built a reader that uses layout rules for known hauler formats and an on-demand private model for new ones. It splits combined PDFs per client and maps each wording to a service list. It refuses any invoice whose lines miss the printed total. New haulers, clients and wordings go to a review queue next to the original. The system keeps each answer for next time. Approved lines build a benchmark of unit prices by hauler, industry and region, and predictive analytics shows where prices are heading on 15 years of historical data. Every figure opens to its invoice lines and formula. An installable phone app gives sales a monthly price range and a branded quote during the call. On the client side, a light marketplace lets a store order a regular service in three clicks, and the broker runs clients, quotes and orders in its own light CRM.

Invoice data extraction with checks at every step, a benchmark sales can trust and a price on the phone.

How Invoice Data Extraction Solves It

Each module answers one of the reasons above, from the first PDF to the quote.

A Reader That Checks Its Own Math

PDFs from a watched Drive folder or a bulk upload are read the day they arrive, split per client when combined and compared with the printed total. A misread line goes to review and stays out of the price history.

Each New Wording Asked Once

A reviewer maps an unknown hauler, client or service wording beside the highlighted PDF. The answer applies to every later invoice.

Every Price Opens to Its Invoice Lines

A benchmark of hauler by industry by region shows median unit prices and the formula behind each figure.

Price Trends on 15 Years of History

Predictive analytics shows where each hauler's unit prices are heading, so a contract renewal starts from the expected price.

A Price Range on the Phone

Sales picks industry, services and region in an installable app and shares a branded quote with a monthly range.

Orders and Clients in One Place

Stores order a regular service in three clicks on a light marketplace, and the broker's own CRM keeps every client, quote and order.

What Runs Without Anyone Pressing a Button

The work the system does without anyone opening a spreadsheet.

New Invoices Picked Up

Files dropped into the Drive folder enter the queue and get read.

Totals Checked

An invoice whose lines miss the printed total goes to review and stays out of the prices.

Answers Reused

A wording mapped once applies to every later invoice from the same hauler.

Benchmark Refreshed

Approved lines update the price history, the matrix and the quick-price ranges.

Invoice Data Extraction: Questions Buyers Ask

Question mark iconHow does AI invoice data extraction work?
The reader takes each PDF from a watched Drive folder or a bulk upload and reads the line items with layout rules for known formats and a private model for new ones. It then compares the lines with the printed total. Invoices that add up go into the price history, and the rest wait in a review queue next to the original PDF.
Question mark iconHow accurate is AI invoice extraction?
Every invoice is checked against its own printed total, so a misread line cannot enter the price history unnoticed. On the client's sample invoices, every extracted total matched the printed one to the cent.
Question mark iconCan it read invoices that mix several clients?
Yes. Combined hauler PDFs are split into one record per client while they are read, and each part is checked on its own.
Question mark iconDo haulers have to change how they send invoices?
No. The reader works with the PDFs haulers already send, from a shared Drive folder or a bulk upload.
Question mark iconHow do stores order a service?
On a light marketplace: the store picks a regular service, sees hauler offers side by side and places the order in three clicks. The order lands in the broker's CRM with the client and the quote.
Question mark iconWhat did the broker get at handover?
An invoice reader that checks its own math, a review queue next to the original PDF, a price benchmark with trends on 15 years of history, an installable quick-price app, a three-click marketplace and a light CRM.
